An RFI is a contract document. It's the record that you asked, when you asked, and what waiting cost you. A phone call that solves the same problem leaves no record, and at closeout the phone call is worth nothing. It's emailed as an attachment, and everything you need to change is highlighted. This one goes UP: to the general contractor, the architect or the owner.
3 THINGS, IN ORDER.
Number it in sequence and never reuse a number. A hole in your own numbering is the first thing anybody looks for when a claim is argued.
Put a real date in RESPONSE NEEDED BY. ASAP isn't a date anybody can be late against.
State the problem, then propose the solution. Most responses accept a reasonable proposal, which means the RFI you wrote decided the outcome.
